Campaign Merchandise When the Deadline Is Real

Pass The Sheet Around

Campaign printing is not ordinary printing with a tighter date. The order of operations is different, and getting it wrong wastes the whole budget.

Nine days. The date is fixed and it is not moving, the budget was agreed this morning, and the list of things somebody wants printed is longer than the time available. This is what campaign work looks like every single time, and it is a different discipline from ordinary print buying.

Some deadlines are fixed years ahead. The Constitution sets Kenya's general election for the second Tuesday in August every fifth year, and the IEBC has scheduled the next one for 10 August 2027, with campaigning allowed until 7 August. Every campaign order next year works back from those two dates.

Decide the order of operations first

Not everything can be first. The instinct is to order the most visible item, which is usually the wrong call: the most visible item is often the slowest to produce and the least useful if it arrives late.

Work backwards from the event instead. What must physically be in people's hands on the day, and what merely needs to exist by then? Campaign t-shirts from KSh 250 have to be distributed before the day, which means they need to be finished several days before it, which means artwork has to be signed off well before that. Handheld flags at KSh 20 can arrive the evening before and still do their job.

Late approval, paid-for speed: almost every rushed campaign job is rushed because a design sat waiting for a decision, not because production is slow. The date you control is the approval date.

What campaigns order, and why

T-shirts. The core item, at KSh 250 a shirt from 100 pieces. Numbers are always larger than first estimated, so decide the buffer at the start, not at distribution.

Handheld flags. Cheap, high-visibility, and they photograph well, which is often the whole point: paper flags are KSh 20 and polyester KSh 50, from 200. A crowd holding flags reads as a crowd; the same crowd without them reads as people standing.

Reflector jackets from KSh 200. Marshals, stewards, anyone directing traffic or managing a route. These are safety equipment as much as branding, and they are the item most often remembered last.

Banners and posters for site branding, the stage backdrop and route markers.

Caps and wristbands to identify teams and control access.

The three things that go wrong

Artwork that is not print-ready. A design built for social media is the wrong resolution and often the wrong colour space for garments. Get it made properly once, at the start, in a form everything else can be produced from. This single step removes most of the panic.

Quantities that change mid-run. Adding 300 shirts to a job already in production is not the same as ordering 300 more at the start, and it costs accordingly. Overestimate at the beginning; leftovers are cheaper than a second run.

Distribution that was nobody's job. Merchandise sitting in a store room on the day is the same as merchandise that was never printed. Name the person responsible for getting each item to where it is needed, before ordering it.

What to print, and what to skip

Campaign budgets get spread thin across too many item types, and the thin spread is what makes a campaign look under-resourced, not efficient. Two hundred of one thing reads as organised. Forty each of five things reads as an afterthought, and costs the same.

The items that reliably earn their place are the ones a person holds or wears, because those move through the crowd and appear in every photograph taken. The items that reliably disappoint are printed paper handed to people who are standing up outdoors, which is in a bin or on the ground within the hour.

If a choice has to be made, put the money into fewer categories at higher quantity. It photographs better, it distributes faster, and there is nothing left over that nobody wanted.

What to do with nine days

Day one: lock the artwork. Not draft it; lock it, with whoever must approve it in the room. Day two: place the garment order, because that is the longest lead time, and use days three to five for everything printed on paper and vinyl, which is faster. Days six to seven: collect, count, and split into the bundles that go to each location. Day eight: distribute. Day nine is not a working day, whatever the plan says.

An exhibition or a stand is a different kit from a rally, and the expo checklist covers what has to be built and packed. For a shirt order large enough to optimise, the printing method comparison explains where the price breaks fall.

Common questions

What is the fastest realistic turnaround on campaign shirts?

It depends on quantity, method and whether artwork is ready, so no careful supplier gives one number for it. What is true everywhere is that approved artwork and a confirmed quantity are what start the clock. Ask for a date against your specific job, not a general promise, and get it in writing.

Can you match an exact campaign colour?

Closely, not exactly, and the difference matters. Fabric dye, print method and garment colour all affect the result, and the same file can land slightly differently on cotton and polyester. Where the colour is critical, ask for a printed sample on the actual garment before the run. It is the only reliable check.

How many should we order?

More than the headcount you have been given. Campaign attendance is consistently underestimated, and running out is highly visible in a way that leftovers are not. Ordering 10 to 20% above the estimate at the start costs far less than a second run placed under pressure two days before the event.

Do you deliver to counties outside Nairobi?

Yes, anywhere in Kenya, with the courier cost on the quote before you agree. For a campaign covering several locations it is usually better to split the order into labelled bundles per destination here, instead of shipping one consignment and re-sorting it at the other end under time pressure.
